Who holds your data

South West Leads Ltd, trading as Engaged Leads, is the controller of the personal information described here. We are registered in England and Wales, company number 15080623. Our registered office is 20 Wenlock Road, London, N1 7GU. Email hello@engagedleads.co.uk with a privacy question or request.

This notice covers visitors to this website and venue representatives who contact us. A venue’s own notice and client agreement cover information about couples handled for that venue.

What we collect

If you email us, we receive your email address and whatever you choose to include. Our enquiry forms collect your name, venue name, email, phone number, venue postcode, venue type, maximum guest numbers and optional website. Waitlist forms collect your name, email and venue name. Calendar bookings collect the details you enter and your chosen appointment.

Forms also include your area-check postcode, place and result, the page URL and any UTM campaign parameters in it. Our hosting and security providers may process IP addresses, browser information, requests and security logs to deliver and protect the website.

How area checks work

When you submit a full postcode or district, your browser sends it directly to postcodes.io to find the administrative district and postcode district. The provider also receives the connection information needed to answer your request, such as your IP address. We do not send your name, email or phone number with this lookup.

We compare the district with our reserved-area list in your browser. Your result stays in the page’s memory and is included if you later send an enquiry or waitlist form. An area check alone does not add you to a mailing list. If the lookup is unavailable, an open result remains unconfirmed.

Why we use information and our lawful bases

  • Answering enquiries and arranging calls: our legitimate interests in responding to venue representatives and running our business. Where you personally ask us to take steps towards a contract, we may instead rely on those pre-contractual steps.
  • Checking an area: our legitimate interests in answering the availability request you make.
  • Maintaining a requested waitlist: your consent. You can ask to leave at any time. We use it to tell you if your requested area opens up, rather than to add you to general marketing.
  • Delivering and securing the website: our legitimate interests in keeping it available and protecting it from misuse.
  • Meeting legal requirements and handling rights requests: our legal obligations, where applicable.

We do not use this website’s forms to make decisions with legal or similarly significant effects through solely automated processing.

Who receives information

Enquiries and bookings are stored in our CRM, HighLevel (LeadConnector), which acts as our data processor. The booking calendar on our website is provided by HighLevel. Postcodes.io handles area lookups. Our website hosting is provided through OpenAI Sites with Cloudflare infrastructure. Email providers process correspondence so we can receive and reply to it.

Google Analytics and Meta Pixel are not configured or loaded on this website, and we do not send analytics or advertising events.

Some providers may process information outside the UK. Where required, we use appropriate safeguards, such as an applicable adequacy arrangement or approved contractual safeguards. Contact us for information about the safeguards applying to a connected service. We do not sell your personal information.

How long information is kept

Our website-enquiry retention schedule is up to 12 months after the last meaningful contact where no client relationship follows. Waitlist details are kept until you ask to leave, the requested notification has been sent, or 12 months have passed, after which continued retention should be reviewed with you.

An area check is not retained by this website beyond the page session unless it is included in an enquiry you submit.

Information needed for a client agreement, a legal obligation or a genuine dispute may need to be kept longer, only for that purpose. Service providers may retain limited security or backup records under their own applicable retention arrangements. Ask us for the retention details applying to your enquiry or a connected service.

Cookies and tracking choices

Google Analytics and Meta Pixel are not configured, so this website does not load those trackers or display a cookie banner. We do not store an optional tracking preference.

The embedded HighLevel booking calendar may use cookies or other technology needed to fulfil the booking you request; the provider’s information is available with the calendar. You can manage cookies and local storage through your browser.

Your rights

Depending on the circumstances, you may ask for access to your information, correction, deletion, restriction or transfer of information, and you may object to processing based on legitimate interests. You can withdraw consent at any time without affecting the lawfulness of earlier processing. These rights are subject to the conditions and exemptions in data protection law.

Email hello@engagedleads.co.uk. We may need enough information to confirm your identity and locate your records. We normally respond within one month, subject to any extension allowed by law.

How to complain

Please contact us first so we can try to resolve your concern. You also have the right to complain to the Information Commissioner’s Office, the UK data protection regulator. See the ICO’s complaints guidance or call 0303 123 1113.

We may update this notice when our services or processing change. This notice was updated on 20 October 2026.
